About the role
The Office Manager will be based in Geneva and will ensure the smooth operation of BAM’s Switzerland campus, including the Zug property. This role requires close collaboration with management, staff, clients, and external partners to maintain a professional and efficient office environment.
Key responsibilities
- Manage the reception desk, answer and route calls, and greet guests courteously.
- Maintain calendars for visitor desks, conference rooms, and office seating using tools such as WISP and Robin.
- Prepare conference rooms, coordinate catering, and handle courier services including FedEx and messenger deliveries.
- Assist with accounts payable invoice tracking and submission for approval.
- Serve as the primary contact for facilities vendors, ensuring compliance with safety, quality, and environmental health standards.
- Oversee office maintenance, preventative schedules for appliances, and stock office supplies.
- Facilitate employee moves, seating arrangements, and office floorplan updates.
- Maintain visitor and front‑desk manuals and manage building security portal entries.
Required profile
- Excellent interpersonal and relationship‑building abilities.
- Clear, concise written and oral communication skills.
- Ability to work effectively with all organizational levels and external partners.
- Strong organizational skills and attention to detail.
Required skills
- Proficiency with workplace planning tools such as WISP and Robin.
- Experience using a Visit Calendar system for visitor management.
