Customer Service Representative – Order Management & Logistics

About the role

The Customer Service Representative acts as the central hub linking customers with sales, technical, planning, production, logistics and finance teams. You will ensure smooth order processing, accurate invoicing and timely communication, delivering a high level of customer satisfaction throughout the order lifecycle.

Key responsibilities

• Prepare customer quotations in collaboration with sales and technical teams.
• Clarify product details, quantities and delivery dates with customers and sales representatives.
• Enter orders, confirm them to clients and track their progress.
• Coordinate with planning to adjust delivery dates when necessary.
• Follow up with finance on advanced payments and monitor overdue accounts.
• Maintain inventory records and ensure correct master data (addresses, VAT numbers, incoterms, payment terms, etc.) in SAP.
• Schedule and release shipments, manage Make & Hold orders, and oversee export documentation for customs clearance.
• Generate daily invoices for shipped goods and record proof of delivery.
• Respond promptly to customer inquiries, resolve issues and document actions taken.
• Support testing of integrated systems and act as backup for colleagues in other countries.
