Customer Service Representative – 80-100%

About the role

As a Customer Service Representative at RGCC International, you will be the primary point of contact for doctors, clinics, patients and partners. You will provide accurate information about our precision‑oncology services, manage inquiries across multiple channels and ensure a smooth experience for all stakeholders.

Key responsibilities

• Answer phone, email and other channel inquiries from healthcare professionals, patients and partners.
• Provide accurate details on testing procedures, order status and service offerings.
• Escalate complex issues to the appropriate department.
• Process customer requests, maintain records in HubSpot and coordinate courier pickups and shipping labels.
• Support scheduling, general office administration and generate invoices.
• Send payment reminders, track invoices and collaborate with finance on billing questions.
• Work closely with laboratory, logistics and finance teams to ensure seamless operations.
• Contribute ideas for continuous process and service improvements.

Required profile

• Proven experience in customer service, administration or a client‑facing role.
• Excellent verbal and written communication in English and German; additional languages are a plus.
• Professional, empathetic and discreet handling of confidential information.
• Strong organizational and time‑management abilities.
• Problem‑solving mindset with a proactive approach.
• Comfortable in a fast‑paced, international environment.
• Team player who can also work independently.

Required skills

• Microsoft Office Suite
• CRM systems (experience with HubSpot is a plus)
• Invoicing or billing software (experience is a plus)
