About the role
We are seeking a proactive Executive Assistant / Office Manager to ensure the smooth daily operation of our Geneva office. You will act as the primary liaison between senior management, administrative staff, and an international client base, providing high‑level support while overseeing front‑desk activities.
Key responsibilities
- Manage front‑desk operations and maintain a professional, welcoming environment for clients.
- Coordinate complex, multi‑stakeholder calendars, including international appointments for the CEO.
- Supervise a team of part‑time administrative staff, allocating tasks and ensuring effective communication.
- Identify and implement process improvements to optimise administrative workflows.
- Provide executive and personal assistance to the CEO, handling correspondence, documentation, and ad‑hoc projects.
- Support basic HR and accounting‑related administrative tasks while ensuring data confidentiality.
Required profile
- Proven experience in office management, front‑desk supervision, and executive assistance.
- Strong organisational abilities with a track record of handling complex schedules.
- Experience supervising or coordinating a team, directly or indirectly.
- Excellent interpersonal and communication skills, service‑oriented and confident.
- Fluency in French and English (mandatory).
Required skills
- Proficiency with MS Office.
- Familiarity with scheduling systems.
