Operations Manager (60-80%)

About the role

We are looking for a highly organized and proactive Operations Manager to support the founders and finance leadership across finance, operations, people, and admin topics. The role is based at Archlet HQ in Zürich with flexible hours and a hybrid presence of 2‑3 days per week.

Key responsibilities

• Structure priorities, prepare materials, and track follow‑ups and next steps.
• Own accounts payable for three entities, reconcile credit cards and drive automation.
• Support internal controlling, variance analysis, cost control and data integrity.
• Assist accounts receivable, customer onboarding and pre‑invoice tasks.
• Run the annual budget cycle and keep teams aligned.
• Support year‑end audit with external auditors.
• Plan team weeks, offsites and internal events.
• Coordinate recruiting activities, job postings and interview logistics.
• Handle people‑operations tasks such as feedback cycles, surveys and onboarding/offboarding.
• Maintain day‑to‑day office operations, supplies and mail.

Required profile

• First experience in a fast‑paced environment such as a startup, scale‑up or consulting.
• Diligent, structured and detail‑oriented with strong organisational skills.
• Proactive, reliable and comfortable with shifting priorities and ambiguity.
• Clear professional communicator in English and German.
• Discreet with sensitive information and analytical mindset.

Required skills

• Strong Excel and PowerPoint proficiency.
• Hands‑on experience with large language models (Claude, OpenAI).
