Travel Assistant

About the role

The Travel Assistant supports the Head of the Travel Unit in Geneva, coordinating travel for civilian, military, and police personnel on mission duties. The role ensures compliance with OHCHR travel rules while seeking cost‑effective solutions.

Key responsibilities

• Coordinate travel arrangements for staff, civilian police, and military personnel across member states.
• Calculate and initiate travel entitlements (airfare, baggage, per diems, etc.) and submit for approval.
• Provide advice on optimal and economical flight options and budgeting information for programme managers.
• Negotiate fares and group discounts with airlines and travel agencies, issue tickets, and manage changes or cancellations.
• Audit itineraries against travel authorisations to verify entitlement compliance.
• Review travel claims for completeness and accuracy before forwarding to the Accounts Division.
• Advise on more efficient routing and assist with advance purchase benefits.

Required profile

• Experience in coordinating international travel for staff or mission personnel.
• Strong knowledge of travel entitlements, per‑diem calculations, and UN/International organisation travel regulations.
• Attention to detail for auditing itineraries and travel claims.
• Ability to negotiate with airlines and travel service providers.
• Excellent communication skills for advising staff and preparing documentation.
