About the role
We are looking for an experienced, highly organised Executive Assistant & Family Office Manager to support the CEO, Board, and management team across a broad range of administrative and operational activities. You will keep the office and day‑to‑day operations running smoothly while managing suppliers, HR administration, invoices, and executive support.
Key responsibilities
- Manage calendars, appointments, meetings and hospitality arrangements for executives and the Board.
- Coordinate executive business travel and provide day‑to‑day support to senior leaders.
- Oversee daily office operations, facilities, equipment and supplies.
- Act as first point of contact for visitors, calls and correspondence.
- Manage relationships with IT, telecommunications, maintenance and other service providers.
- Maintain supplier contracts, service level agreements and key deadlines.
- Liaise with external payroll, insurance and recruitment providers.
- Support recruitment, onboarding, off‑boarding and employee administration.
- Coordinate invoices, payment approvals and monitor office expenditure against budget.
Required profile
- 5+ years of experience as an Executive Assistant, Office Manager or comparable senior administrative role.
- Experience in asset management, financial services, banking, legal, professional services or another regulated environment.
- Practical experience with suppliers, contracts, invoices and budgets.
- Experience with HR administration and external payroll providers.
- Commercial diploma (AFC) or equivalent; professional qualification or university degree is a plus.
- Strong organisational skills, attention to detail and ability to work independently.
- Discreet handling of confidential information.
- Fluent in Italian and English; German is an advantage.
