About the role
An established hedge fund is seeking an experienced Executive Assistant to support its senior Equities team in Zurich. The role is high‑visibility, hands‑on, and requires confident interaction with portfolio managers, brokers and other senior stakeholders in a fast‑paced investment environment.
Key responsibilities
- Serve as the professional first point of contact for senior stakeholders, colleagues, clients, brokers and visitors.
- Manage complex, constantly evolving calendars and proactively resolve scheduling conflicts.
- Coordinate internal and external meetings, preparing agendas, materials, logistics and follow‑up actions.
- Maintain accurate records of corporate access, broker interactions and other investment‑related activities.
- Organise domestic and international travel, creating detailed itineraries and handling last‑minute changes.
- Prepare, process and reconcile expenses within required deadlines.
- Coordinate visitors, meetings and hospitality to ensure a seamless professional experience.
- Provide additional administrative and operational support to the Zurich office as needed.
- Anticipate the Equities team’s needs and take ownership of tasks from start to finish.
- Handle sensitive and confidential information with discretion.
Required profile
- 7+ years of executive‑assistant experience supporting senior executives, portfolio managers or investment professionals.
- Previous experience in financial services, asset management, investment banking or hedge funds.
- Proven ability to manage complex diaries, international travel and competing priorities.
- Strong stakeholder‑management skills and ability to build trusted relationships.
- Excellent written and verbal communication with a polished, professional approach.
- Proactive mindset, strong judgement and ability to anticipate requirements.
- Exceptional organisation and attention to detail, especially when priorities shift.
- Discreet and trustworthy handling of confidential information.
- Ability to work independently and as part of a close‑knit team.
