Medical Administrator

About the role

The Senior Medical Administrator provides dedicated administrative and operational support to the Internal Medicine Team, ensuring smooth coordination of physician schedules, client appointments, medical documentation and day‑to‑day processes in a dynamic clinical environment.

Key responsibilities

• Manage physicians’ calendars, client appointments and external medical examinations, handling additions, cancellations and rescheduling while resolving conflicts.
• Coordinate preparation of discharge reports and other medical documentation, ensure completeness, proper formatting and secure filing in E‑PAT.
• Provide general administrative support, manage monthly expense administration, monitor team absences in Personio and support onboarding and induction processes.
• Organise weekly team meetings, prepare agendas, materials and minutes, and ensure cross‑coverage with other medical pillars.

Required profile

• Completed medical education (e.g., MPA, Pflegefachperson HF or equivalent) with 2‑5 years of experience in medical administration or coordination.
• High level of organization, accuracy, confidentiality and flexibility, with fluency in German (C1) and English.
• Eligibility to work in Switzerland and willingness to work on Saturdays.

Required skills

• Proficiency in MS Office, Teams, SharePoint and the E‑PAT system.
• Ability to use DeepL for document translation as per SOP.
