About the role

An independent wealth management firm on the Swiss Riviera is looking for an Administrative & Operations Officer to support daily activities and ensure smooth operations. The role combines administration, client servicing, compliance, accounting support, and office management in a dynamic, entrepreneurial environment.

Key responsibilities

  • Monitor daily account balances, resolve discrepancies, and follow up on fiduciary deposits and term investments.
  • Manage client onboarding, documentation, and KYC/ due‑diligence updates.
  • Prepare client meetings, maintain records, and handle incoming/outgoing correspondence.
  • Issue and track client fee invoices, calculate introducer and referral commissions.
  • Support credit proposals, Lombard facilities, mortgage requests, and coordinate with banks, insurers, and financial partners.
  • Maintain the internal portfolio management system and review tax statements.
  • Prepare internal and client newsletters, assist relationship managers, and liaise with external fiduciaries for accounting and VAT matters.
  • Provide administrative support to senior management and ensure AML/compliance controls.
  • Oversee office logistics, supplies, and general administrative services.
  • Contribute to process improvements using AI tools and digital solutions.

Required profile

  • Previous experience in administration, operations, client servicing, or assistant relationship management within wealth management, private banking, asset management, family office, or a financial institution.
  • Good understanding of account opening, KYC, and banking operations; knowledge of AML and compliance is a plus.
  • Strong organisational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent communication and interpersonal abilities; comfortable interacting with banks, partners, and clients.
  • Fluent in French and English.
