Team Assistant – Temporary (Finance Unit)

About the role

The United Nations Office for Disaster Risk Reduction (UNDRR) is seeking a temporary Team Assistant for a six‑month assignment within its Finance Unit. The role provides comprehensive office, administrative and finance support to the Head of Unit and Chief of Section in Geneva.

Key responsibilities

• Perform a wide range of office support, administrative and finance functions.
• Draft and respond to routine correspondence and produce complex documents and reports.
• Monitor schedules and processes, verify receipt and accuracy of documents, approvals and signatures.
• Research, compile and organize information for financial reports, work plans, studies and briefings.
• Generate standard statistical reports and work orders using various databases.
• Proofread and edit documents for accuracy, grammar, punctuation and format.
• Provide secretarial, administrative and logistics support for meetings, boards, committees and conferences.
• Maintain UNDRR SharePoint site by scanning, converting and posting documents.
• Prepare presentation materials using appropriate software and manage calendars and schedules.

Required profile

• Proven experience in office support, administrative and finance tasks.
• Ability to draft clear correspondence and produce large, complex documents.
• Strong organizational skills for monitoring schedules, verifying documents and ensuring compliance.
• Familiarity with document management systems and database usage.

Required skills

• Microsoft Word (standard word‑processing package).
• SharePoint for document posting and management.
• Microsoft PowerPoint for presentation preparation.
• Basic use of databases for generating reports.
