About the role
We are looking for an experienced Administrative Assistant to provide high‑level support to the Head of Internal Audit at an international financial institution based in Switzerland. The role is a 2‑year fixed‑term contract, working 80‑100% of full‑time hours.
Key responsibilities
- Manage the Head of Internal Audit’s calendar, schedule meetings and prioritize commitments.
- Act as the central hub for incoming requests, handling emails, calls and correspondence.
- Prepare and consolidate meeting materials, agendas, reports and briefing notes.
- Organise internal and external meetings, including logistics, room bookings and documentation.
- Maintain departmental intranet and other internal communication platforms.
- Support procurement processes, raise purchase orders and track services.
- Draft internal reports, minutes, project updates and financial tracking documents.
- Ensure accurate record‑keeping, version control and secure storage of audit‑related documents.
- Assist with budget monitoring, cost control and financial reporting.
- Serve as liaison between Internal Audit leadership and internal/external stakeholders.
- Coordinate domestic and international travel, as well as conferences, seminars and team events.
Required profile
- Several years of experience providing executive‑level administrative support, preferably in a regulated financial environment.
- Strong organisational and coordination abilities with a focus on confidentiality.
- Excellent written communication skills for drafting professional correspondence.
- Ability to manage multiple priorities and work autonomously.
