About the role

As an Administrative Assistant you will provide strategic administrative and operational support to senior leaders within Lonza’s Integrated Biologics Platform (Operations). Working in a fast‑paced global environment, you will act as a trusted partner, managing priorities, stakeholders and planning to ensure smooth day‑to‑day operations.

Key responsibilities

  • Manage complex, rapidly changing calendars for designated leaders, coordinating internal and external meetings.
  • Arrange domestic and international travel, handling flights, accommodation, visas and policy compliance.
  • Oversee the full expense reporting and purchase requisition lifecycle to maintain budget visibility.
  • Maintain SharePoint sites, ensuring document integrity, version control and secure access.
  • Lead logistics for on‑site and virtual workshops, delivering high‑quality participant experiences.
  • Coordinate onboarding for new team members, including equipment, system access and orientation materials.
  • Collaborate across the “OneLonza” admin community while handling confidential information and special projects.

Required profile

  • Significant experience supporting senior leadership in a global corporate setting.
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and SharePoint.
  • Familiarity with SAP Ariba or similar procurement and expense systems.
  • Excellent English communication skills and professional stakeholder interaction.
  • Proven ability to prioritize a heavy workload independently and meet tight deadlines.
  • Business Administration, Project Management or Event Management education (apprenticeship or bachelor’s degree).
